Volunteer Info
PDM Productions volunteers are the backbone to the success of our “The Nutcracker Sweet” production. Without the dedication of volunteers, we would not be able to produce a show of this beauty and quality. No amount of time is too small.
If your child is cast in this production, it is required that a parent or family member volunteer in some capacity, at least 15 credits, minimum. If the cast is smaller than usual, we will ask you to help out even more to maintain the excellence and quality of our production. If you are unable to donate your time and energies to the production, you have the option of paying a $200.00 “Volunteer Fee.” (We prefer to have your time and talents!!)
A few of our volunteer roles are listed over the next few pages. Depending on the size of the cast, some roles may or may not be utilized during the season. Other needs may arise and volunteers will be needed to help out. Please look over them and see where you can help out. Keep in mind, with a smaller cast, we ask that each volunteer help a little more to cover needs in making this a successful production. Ideally, we want you to enjoy 1 show as a patron and volunteer for 3 shows, repeating the same role for each show. Look for a Sign-Up Genius link soon to add your name/talent!

REHEARSAL DAY TEAM ROLES
- Accessories/Props Team-You will organize, inventory, repair and/or create accessories and props as needed. (1/2 credit per session)
- Costume Team-You will cut patterns, machine and hand sew, fit costumes, make sewing adjustments and repairs to costumes, accessories and headpieces. You will iron, steam, organize and pack costumes thru out season for Photo Shoot Day, Load In, Dress Rehearsals and Performances and Load Out. (credit vary)
- Angels/Cherubs/Mice/Poli Chaperone-You will help monitor and line up dancers for their rehearsal times and between dances. (1 credit per session)
- Photo Shoot Assistant-You will help dancers dress in costume, accessories and headpieces, help with hair and makeup, line dancers up, check for photo readiness, chaperone, sort and hang costumes. (1 credit per session)
- WeekendWrap Up-You will put tables and supplies away in designated areas. Pack away props used during rehearsals. Empty trash cans, tidy, sweep floors in lobby, studios, playroom and bathrooms at the end of each rehearsal weekend. Return thermostat settings. Turn off lights. (1/2 credit per session)
IN THEATER:
STAGE CREW ROLES
- Load Truck/Load In–You will move props/costumes, etc from storage to moving truck to venue. (2 credits)
- Set Up-Set up stage with scenery and props. (3 credits)
- Costume Inventory/Pack Up-After last show, you will help accept returned costumes from dancers, empty garment bags and sort costumes by groups and repack. (3 credits)
- Tear Down-After the last show, take down scenery, props, costumes, etc and pack away. (2 credits)
- Load Out-Return props/costumes, etc from venue to moving truck to storage. (2 credits)
FRONT OF THE HOUSE ROLES
- Concessions/Flowers/Souvenir Booklet/Raffle Tables-You will set and organize sales of concessions, flowers, souvenir booklets, trinkets and t-shirts. At the end of day, you will pack up. Pre-ordered souvenir booklets will be picked up at this table. DO NOT LEAVE CASH/BOX or TABLES UNATTENDED. Arrive to post 1 hour prior to performance. (2 credits per show).
- Entrance Monitor-You will be stationed at the Sign In/Out table in front of the dressing rooms area doors. For the safety of the dancers, you are to ENFORCE that the dancers and volunteers sign in/out. Dancers will go to their assigned dressing room. For our younger dancers (Angels, Cherubs and Mice) a runner will escort them to their assigned dressing room. Dancers must stay in their dressing rooms. For bathroom breaks, you will monitor dancers and make sure they return to the dressing room area. Dancers may not ROAM. Volunteers will sign in/out and receive their volunteer IDs at the table. Parents are not allowed to go backstage or to the dressing area unless they are volunteering. Table must be monitored during the entire show. After each performance, dancers must sign out (parents can sign out their dancers). You will send runners to escort the younger dancers from the dressing room to their parents. Costumes, accessories and props stay at the theater. You will stay until the last dancer is picked up. Roles will be split into shifts. ARRIVE 15 minutes prior to first call time. (3 credits per show or 1.5 credits per 1/2 show)
- Escort/Runner-You will escort our younger dancers (Angels, Cherubs and Mice ) to their assigned dressing rooms. Parents do not come back with you. You will deliver items to dancers. Please stay at the Sign In/Out table with the Entrance Monitor. Dancers must stay in their dressing room. For bathroom breaks, you will monitor dancers and make sure they return to the dressing room area. Dancers may not ROAM. At the end of the show, you will stay until the last dancer is picked up. ARRIVE either 15 minutes prior to first call time OR as cast make Finale Bows. Role will be split into shifts. (3 credits per show or 1.5 credits per 1/2 show)
- Pot Luck-You will organize, set up and clean up the Pot Luck Supper that is served between the Saturday shows. (2 credits)
- Ticket Sales-You will sell tickets via tututix at the door before each performance. We may offer paper tickets (TBD). Cash and checks are acceptable. Checks are made payable to PDM Productions. Tables must stay open for the first 10 minutes of the show for anyone who arrives after the performance begins. DO NOT LEAVE CASH/BOX or TICKETS UNATTENDED. ARRIVE to post 1 hour prior to performance. (1 credit per show)
- Usher-Wear black and white. Theater doors open 30 minutes before each performance. 2 ushers will collect tickets and 1 usher will hand out programs. Everyone must have a ticket to gain entry, including parents and volunteers. Handicap and the elderly will be allowed early admittance. They, however, are allowed to bring only 1 guest with them. Seat cannot be saved. NO ONE can “reserve” seats with jackets, etc. You will enforce the “No Video/No Photography” policy. ARRIVE to post 1 hour prior to performance. (1/2 credit per show)
- Will Call-You will distribute pre-paid tickets. Tickets maybe filed under the dancer’s name or under the patron’s name. A patron may exchange an unused ticket for another show. ARRIVE to post 1 hour prior to performance. (1/2 credit per show)
BACK OF THE HOUSE ROLES
- Accessories Table Manager-You will set and organize accessory items. You will give each dancer and/or chaperone his/her accessory piece as most are assigned to a dancer. Dancers MAY NOT help themselves. You may need to help dancers and chaperones put on their hair and accessories. You will ensure all pieces are returned to the table after each dance. Dancers may not keep accessories. At the end of each performance, make sure the table is organized and reset for the next show. Accessories must be packed in the container/bag with the corresponding item numbers. ARRIVE to post 1 hour prior to Call Time. (2 credits per show)
- Backstage Runner-You will deliver time cues to dancers/chaperones in dressing rooms, line them up and ready them to go on stage. Please check the dancers and make sure they all look the same and that they have all their costumes on correctly. You will make sure that the dancers get off the stage and back to the dressing areas when they are done. You do not take any dancers to the restroom. There are chaperones in the dressing areas assigned for this task. ARRIVE to post 1 hour prior to Call Time. (2 credits per show)
- Costume Dresser/Chaperone-You will be responsible for a group of dancers. Each group will be assigned to a dressing room. There may be other dancers sharing the same dressing room. While you are responsible for your group, please maintain an eye on ALL dancers in the room. Make sure they go to the restroom with plenty of time before they perform. Collect/return accessories from the accessory table for your group. Help the dancers change in/out of costumes and accessories. Make sure each dancer’s costume and accessory are in place before they perform. Help return accessories and hang costumes to reset for the next show. Keep the dancers in the dressing room (NO ROAMING). Keep food away from costumes (NO EATING in costumes). Make sure they act as proper guests of the facility (Guide them away from music instruments, props, etc,). Have dancers pack their belongings BEFORE the Finale Bows. After the Finale Bows, the dancers will return to dressing rooms to change back to their street clothing. Costumes must be returned to the clothing rack, on the hangers with their names, for the next performance. Parents will pick their dancers up at the Sign In/Out table. For the younger dancers (Angels, Cherubs and Mice), a runner will escort dancers from the dressing area. You will stay until the last dancer is picked up. Parents are NOT allowed in dressing rooms unless they are volunteering. The dancers should bring their own entertainment and snacks. But, just in case, please bring entertainment … coloring books and crayons, board games, books, etc. ARRIVE to your post 15 minutes prior to your group’s Call Time. (2 credits per show)
- Quick Changer-You will help the dancers who have a quick change from one costume to another. Dancers should set their “next” costume, shoes and accessories in the proper wing prior to the start of the performance. You will hang the costumes / accessories on the dancer’s hanger. Dancers are responsible for resetting their costumes for the next performance. ARRIVE to post 1 hour prior to performance. (2 credits per show)

Help support PDM Productions, Inc. and its 9th season of “The Nutcracker Sweet” by selling advertising space in our program & website. Advertisement sales helps us as we strive to be exceptional. The ad also brings exposure to your vendor. On average, our program is seen by approximately 1000 patrons during our holiday season. This is a great way to support local businesses, our organization, our performers and our community! Each family should sell at ONE AD SPACE. More, even better!
